The odds are you started your coaching and consulting business because you are passionate about helping others.
Then, at some point, the work that goes into marketing your business started to take over your time and energy, quickly shifting the work you do from exciting to exhausting.
If you’ve ever felt buried under content creation, social media, emails, or tech tasks, you’re not alone. The good news? You don’t have to do it all yourself.
This step-by-step guide will help you assess your marketing workload and make smart decisions about what to delegate, automate, or streamline—so you can stay focused on what matters most.
Step 1: Take Inventory of Your Current Marketing Tasks
Start by listing every marketing-related task you’re responsible for, including:
- Content creation (blogs, social posts, newsletters, etc.)
- Social media management
- Email marketing
- Website updates
- Analytics and reporting
- Client communication and lead follow-up
- Graphic design
- Scheduling and publishing tools
Seeing the full scope of what you’re doing will help identify where your time and energy is going.
Step 2: Identify What Drains vs. Energizes You
Go through your list and mark each task as:
- E = Energizing (You enjoy it and it plays to your strengths)
- D = Draining (It zaps your energy, stresses you out, or you avoid it)
This will help you see which tasks you could delegate without sacrificing joy or quality in your business.
Step 3: Evaluate What Actually Requires You
Not every task needs your personal touch. Ask yourself:
- Am I the only one who can do this?
- Is my unique voice or expertise needed here?
- Could someone else do this with the right training or guidance?
Delegate anything that doesn’t require your unique perspective, judgment, or strategy.
Step 4: Determine Where Systems Can Help
Some tasks don’t need a person—they just need a process. Consider:
- Using templates for emails and social posts
- Automating email sequences or appointment bookings
- Creating SOPs (standard operating procedures) for recurring tasks
- Using project management or content planning tools
Systems reduce decision fatigue and free up your mental energy.
Step 5: Start Small with Delegation
You don’t need to outsource everything at once. Choose 1-2 draining, time-consuming tasks and explore options like:
- Hiring a virtual assistant
- Working with a marketing consultant or agency
- Bringing on a contractor for design, content, or tech help
Start with a trial project or limited engagement and build from there.
Step 6: Revisit Regularly
Marketing needs shift as your business grows. Make a habit of revisiting your workload every quarter to ask:
- What’s working?
- What’s still on my plate that doesn’t need to be?
- What can be improved or further streamlined?
The goal is progress, not perfection.
You Don’t Have to Do It All to Be Successful
Delegating or automating tasks isn’t a weakness—it’s a sign of strategic leadership. By getting clear on what only you can do and creating support around everything else, you create space to lead, innovate, and grow sustainably.
